Getting started with Web Design Island
Q: What is the first step to working with WDI Digital Design?
A: The first step is booking a free 20-minute Discovery Call. There’s no commitment, no pitch deck, and no obligation. We look at where your business stands right now — where leads are coming in, where they’re dropping off — and give you one clear recommendation. Whether you hire us or not, you leave with something useful.
Q: What happens in the Discovery Call?
A: It’s a focused 20-minute conversation. We ask about your current setup, your biggest frustrations with how leads are handled, and what you’ve already tried. Based on that, we identify the single highest-impact fix for your business right now and tell you exactly what it would involve. No packages to choose from. One recommendation.
Q: What do I need to have ready before the Discovery Call?
A: Nothing formal. It helps to have a rough idea of how leads currently come in – form, phone, social media, referrals – and what happens after they reach out. If you have login details for your website, Google Business Profile, or existing tools, have those accessible but you don’t need them for the call itself.
Q: How quickly can we get started after the Discovery Call?
A: If we’re the right fit, we can typically start within one to two weeks of the call. Faster starts are possible depending on current availability and how quickly your intake information comes through.
Q: Do you take on every business that reaches out?
A: No. The Discovery Call goes both ways — it’s how we figure out whether what you need matches what we build. If your biggest problem is something outside our scope, we’ll tell you that honestly and point you in the right direction. We don’t take on projects that aren’t a good fit.
Questions about the services
Q: What is a digital front desk system?
A: A digital front desk system is the connected set of tools that handles everything a traditional front desk would — answering inquiries, responding to leads, booking appointments, and following up — automatically and without the owner being personally available. Web Design Island builds it, runs it, and maintains it – you don’t manage any part of it. It runs 24 hours a day and makes sure no lead falls through the cracks while you’re doing the actual work.
Q: What is the difference between SmartListings, SmartWeb, and SmartEmployee?
A: They solve three different problems. SmartListings fixes how your business shows up across 40+ directories so the right people find the right information when they search for you. SmartWeb builds a custom WordPress website you own outright that converts visitors into inquiries. SmartEmployee is the AI-powered front desk that captures every lead, responds in under 60 seconds, books appointments, and follows up automatically. Each layer works independently and they work better together.
Q: Do I need all three layers?
A: No. Most clients start with one — the layer that’s costing them the most right now. The Discovery Call identifies which one that is. Some businesses need SmartListings first because people can’t find them. Some need SmartWeb because visitors land but don’t convert. Some need SmartEmployee because leads are coming in but not being captured fast enough. Starting with one and adding layers as your business is ready is the right approach for most people.
Q: How is this different from hiring a marketing agency?
A: Marketing agencies focus on generating traffic and leads — ads, content, social media. WDI Digital Design focuses on what happens to those leads once they arrive. If your intake system is broken, more traffic makes the problem more expensive, not better. We build the system that receives leads, responds to them, and books them – and then we run it for you. You don’t inherit another platform to manage. That work complements marketing — it doesn’t replace it.
Q: Can you help with social media, ads, or content marketing?
A: No. WDI Digital Design specializes in websites, listing management, and automation systems. Social media, paid ads, and content strategy are outside our scope. If you need those, we’re happy to point you toward providers we trust.
Q: Do you work with ecommerce businesses?
A: No. WDI Digital Design works exclusively with service businesses — businesses that book appointments, take on clients, or schedule jobs. Ecommerce has different requirements and a different conversion model. It’s not what we build.
What it's like to work with Tori Jones
Q: What does the working relationship actually look like?
A: After the Discovery Call and onboarding, communication happens through a support system — not personal text messages or social media. You submit requests, ask questions, and get updates through one organized channel. Tori is directly involved in the work — not handing it off to a team you’ve never met. Most clients describe the process as faster than they expected and clearer than previous experiences with developers.
Q: How do you communicate during a project?
A: Through a structured support and project management system. You’ll always know where things stand. Updates are proactive — you shouldn’t have to chase for status. Response time on support requests is typically within a few hours during business hours.
Q: What if I've had a bad experience with a web designer or developer before?
A: It comes up a lot. The most common complaints are: disappeared after the deposit, took months longer than promised, delivered something that looked nothing like what was discussed, or was unreachable after launch. The way we work is built specifically to avoid all of those. Clear scope before anything starts. Regular communication during the build. A defined review process before launch. And ongoing support after.
Q: Will I understand what's being built and why?
A: Yes — that’s a non-negotiable part of how Tori works. Every recommendation comes with a plain-language explanation of what it does and why it matters. No jargon used to make the work seem more complicated than it is. If something isn’t clear, you ask and it gets explained differently until it is.
Q: What if I'm not happy with the result?
A: There’s a defined review and revision process before anything goes live. You approve the work before it launches — not after. If something isn’t right, it gets fixed before you’re asked to sign off. The goal is for you to love what’s been built, not just tolerate it.
Timeline and process
Q: How long does a typical project take?
A: It depends on the service. SmartListings is live within days of completing the intake form. SmartWeb takes 2 to 3 weeks for a complete custom build. SmartEmployee takes 1 to 2 weeks once the system design is confirmed — full setup from intake to live is typically 15 to 30 business days. Most clients are fully operational within 30 days of starting.
Q: What slows projects down?
A: The most common delay is waiting on content or approvals from the client side. The clearer and faster you can provide business details, photos, copy direction, and feedback during the review process, the faster everything moves. We hold up our end — the timeline is mostly in your hands once we start.
Q: What do I need to provide to get started?
A: Depends on the service. For SmartListings: accurate business name, address, phone, hours, and category information. For SmartWeb: an idea of what pages you need, any existing content or brand assets, and access to your domain. For SmartEmployee: your services, hours, booking policies, and Google or Outlook calendar access. We send a detailed intake form at the start so nothing gets missed.
Q: Do I need to be available during the build?
A: Not constantly — but you do need to be responsive. There are typically two to three touchpoints during a SmartWeb build where your input or approval is needed. The more available you are at those moments, the faster the project moves. For SmartEmployee, the initial intake requires about 30 to 45 minutes of your time to get the system configured correctly.
Ownership, contracts, and what happens if you leave
Q: Do I own my website after it's built?
A: Yes. Completely. Your domain, your content, your WordPress install — all of it belongs to you. If you ever want to move to a different developer or host it somewhere else, you can. There is no platform lock-in and no proprietary system that only we can access.
Q: Is there a long-term contract?
A: No. Monthly services — SmartListings support, SmartWeb ongoing maintenance, and SmartEmployee — can be cancelled anytime. SmartWeb has a one-time build fee that covers the project itself. That’s a project cost, not a subscription. The ongoing monthly fee for support and hosting is separate and cancellable.
Q: What happens to my website if I cancel the monthly support plan?
A: Your site stays live. The WordPress install and all content remain yours. What ends is the managed support, hosting, and update management. You’d need to arrange your own hosting and handle updates independently. We’d walk you through that transition.
Q: What happens to my data if I cancel SmartEmployee?
A: You can export your contacts, conversation history, and booking data before cancellation. The AI agents, automated workflows, and booking page are deactivated when the service ends. Nothing is held hostage.
Q: Can I pause a service instead of cancelling?
A: Pausing isn’t a standard option — but if something comes up, reach out and we’ll figure out what makes sense. The goal is never to trap a client in something that isn’t working for them right now.
Investment and return
Q: Is this affordable for a small service business?
A: That depends on your definition of affordable — and on what losing leads is currently costing you. SmartListings starts at $197/mo with no setup fee. SmartWeb starts at $2,997 for the build. SmartEmployee starts at $1,000 to $2,000 setup plus $497/mo. The Discovery Call helps you figure out which investment makes the most sense to start with — and most clients start with just one layer.
Q: How do I know if this will pay for itself?
A: The clearest way to think about it is: what is one new client worth to your business? If one recovered lead per month covers the monthly cost, the math works. For most service businesses, the first few recovered leads after launch more than cover the investment. We can walk through that math in the Discovery Call with your actual numbers.
Q: Do you offer payment plans?
A: For SmartWeb we charge 50% upfront, and then 50% is due in 30 days from start date. All other charges are automatic monthly payments.
Q: What if I'm not ready to invest right now?
A: That’s a completely valid place to be. The Discovery Call is still worth doing — you’ll leave with a clear picture of what’s costing you leads right now and what the fix would involve whenever you’re ready. There’s no pressure to move before it makes sense for your business.
Technical questions
Q: Do I need to be technical to use these systems?
A: No. If you can use your phone and check your email, you can use these systems. And you won’t be running them – we do that part. The goal is to make your business run better without adding complexity to your day. Everything is set up, run, and maintained for you – done-for-you, explained in plain language, and supported on an ongoing basis.
Q: What platform is SmartEmployee built on?
A: SmartEmployee is built on GoHighLevel — a business automation platform widely used for exactly this type of AI front desk and lead management system. You don’t need to know how it works to use it. We handle the configuration, management, and optimization.
Q: Will my new website work on mobile?
A: Yes. Every SmartWeb build is mobile-first — designed and tested to work correctly on phones and tablets before desktop. Most service business clients are found and contacted on mobile. The site is built with that in mind from the start.
Q: Can SmartEmployee integrate with my existing calendar?
A: Yes. SmartEmployee syncs with Google Calendar and Outlook to prevent double-booking. Your existing appointments stay where they are — SmartEmployee books around them automatically.
Q: What if something breaks after launch?
A: For SmartWeb, ongoing support and maintenance is included in the monthly plan. For SmartEmployee, ongoing management and optimization is included in the monthly fee. If something breaks, you submit a support ticket and it gets fixed. You’re not on your own after launch.
Q: Do you handle website hosting?
A: We provide website hosting management with our recommended hosting company. You will have your own account, and pay them directly for full control. We help you set up the account.
